Terms of Service

Effective date: July 6, 2026

These terms are an agreement between PoolBase ("we", "us") and the company that creates a PoolBase account ("you"). By signing up or using the service you agree to them. If you are accepting on behalf of a company, you confirm you have authority to bind it.

The service

PoolBase is software for running a pool service business: customer records, scheduling and routes, field visit logging, service reports, invoicing, payments, and marketing tools. We may improve or change features over time; we will not materially reduce the core functionality you pay for during a paid term without notice.

Accounts and acceptable use

  • Keep your credentials secure; you are responsible for activity under your account.
  • Use the service only for lawful business purposes.
  • Do not send spam. Marketing features may only be used to contact recipients you have the right to contact, with consent where the law requires it (including for SMS). Unsubscribe requests are honored automatically and must not be circumvented.
  • Do not attempt to access another company's data, probe or disrupt the service, or resell it without our written agreement.

Your data

The records your company stores in PoolBase (customers, visits, photos, invoices) belong to you. You grant us the rights needed to host and process that data to provide the service, as described in our Privacy Policy. You can export your data (for example customer and invoice exports) while your account is active. You are responsible for the accuracy and lawfulness of the data you store, including having permission to store your customers' information.

Subscriptions and billing

  • New accounts start with a 14-day free trial with full access; a card is added when you pick a plan.
  • Paid plans bill monthly in advance through Stripe. Plan changes take effect immediately with prorated billing. You can cancel anytime; access continues until the end of the paid period, and fees already paid are not refunded except where required by law.
  • Plans include usage allowances (such as team members, photo storage, and monthly marketing emails). When you reach an allowance, the related feature pauses until you upgrade; your existing data is unaffected.
  • We may change prices with at least 30 days' notice, effective at your next billing cycle.

Payments you collect from your customers

Card payments from your customers run through your own Stripe account via Stripe Connect and are subject to Stripe's terms. You are the merchant of record for those charges: pricing, refunds, disputes, and taxes for your services are between you and your customers. A platform fee may be applied to payments processed through PoolBase, as disclosed on the pricing or payments pages.

Messaging

Email and SMS features send messages on your behalf and in your company's name. You are responsible for the content of those messages and for compliance with applicable messaging laws (such as CAN-SPAM and TCPA in the United States), including recipient consent and carrier registration requirements for SMS.

Termination

You may stop using the service and cancel at any time. We may suspend or terminate an account that materially breaches these terms (including non-payment or abuse), with notice where practical. After closure, we will make your data available for export for a reasonable period before deletion.

Disclaimers and liability

The service is provided "as is" without warranties of any kind, express or implied. To the maximum extent permitted by law, we are not liable for indirect, incidental, or consequential damages, and our total liability for any claim is limited to the amounts you paid us in the 12 months before the claim arose. Nothing in these terms limits liability that cannot be limited by law.

General

These terms are the entire agreement between us regarding the service. If a provision is unenforceable, the rest remain in effect. We may update these terms; material changes will be posted on this page with a new effective date, and continued use after the effective date constitutes acceptance.
